Terms of Use — Hotelfest
These Terms of Use ("Terms") govern your access to and use of the Hotelfest website (the "Platform"). By using the Platform or making a booking, you agree to these Terms. If you do not agree, please do not use the Platform.
1. About Hotelfest
Hotelfest is an online accommodation booking platform operated by Travel Partner OÜ, a private limited company incorporated in Estonia.
Hotelfest provides a platform through which customers can search for and book accommodation offers made available by third-party booking platforms, suppliers and accommodation providers (together, "Service Providers"). Hotelfest acts as an intermediary in the booking process and does not itself provide accommodation services.
When you make a booking, the accommodation service is provided by the relevant Service Provider. The booking conditions applicable to that accommodation are determined by the relevant Service Provider and are communicated to you through Hotelfest.
2. Eligibility and Accounts
You must be at least 18 years old and legally capable of entering into a binding agreement to use the Platform for bookings.
A Hotelfest account is required for booking. An account may be created before or during the booking process. You are responsible for providing accurate and current information and for keeping your account credentials secure.
3. Booking and Confirmation
When you submit a booking through Hotelfest, we transmit the booking information through the applicable booking channel to the relevant Service Provider.
A booking is confirmed when it is shown as confirmed on the Hotelfest website and a booking confirmation is issued. Once confirmed, you will receive a confirmation and voucher by email, and the booking details will also be available in your Hotelfest account.
Availability, room conditions, occupancy rules, check-in requirements, house rules, amendment rules and other booking conditions are supplied or determined by the relevant Service Provider. You are responsible for reviewing the conditions displayed during the booking process and for ensuring that guest names, dates and other booking information are correct.
4. Prices and Payments
The amount payable for a booking is the price displayed on Hotelfest before you complete the booking and payment. All bookings on Hotelfest are paid online.
Online payments are processed by Stripe, a third-party payment service provider. Hotelfest does not receive or store full payment card details. By submitting a payment, you also agree to any applicable terms of the payment processor.
Certain local taxes, city taxes, resort fees, deposits or other property charges may be payable directly at the accommodation if required by the relevant Service Provider. Where this information is provided to Hotelfest, it will be shown during the booking process.
Prices and availability may change until a booking is confirmed. If an obvious pricing or technical error occurs, the booking may be cancelled or corrected in accordance with applicable law and the relevant Service Provider conditions.
5. Cancellation, Changes and No-Shows
Cancellation, amendment and no-show conditions are determined by the relevant Service Provider and/or the specific rate selected. Hotelfest does not independently create or modify these conditions. By completing a booking, you accept the cancellation, amendment and no-show conditions displayed for that booking.
The applicable conditions are displayed during the booking process before payment. Depending on the selected booking, it may be refundable, partially refundable or non-refundable. Any request to cancel or change a booking is subject to those conditions. To request a cancellation or change, use the available booking-management options in your Hotelfest account or contact Customer Support at support@hotelfest.com. A request is not considered completed until it has been processed and confirmed.
Where a cancellation, change, no-show or other event results in a charge or no refund under the applicable Service Provider conditions, Hotelfest is not required to provide a separate refund or compensation of its own, except where mandatory law requires otherwise.
6. Refunds
A refund is available only where permitted by the booking conditions applicable to your reservation or where required by mandatory law. Where a refund is available, Hotelfest will process the eligible refund to the original payment method used for the booking, unless another method is required by law or expressly agreed with the customer.
Once a refund has been approved, Hotelfest will initiate it without undue delay. For card payments processed through Stripe, the refunded amount will typically appear on the customer’s account approximately 5–10 business days after the refund is initiated, depending on the bank or card issuer.
A refund cannot exceed the amount actually paid for the relevant booking. If a booking is non-refundable, or if the applicable conditions impose a cancellation or no-show charge, the corresponding amount will not be refunded except where mandatory law requires otherwise.
7. Complaints and Disputes
If you have a question, complaint or dispute concerning a booking, cancellation, refund or payment, please contact Hotelfest Customer Support at support@hotelfest.com. We will review the matter and, where appropriate, communicate with the relevant Service Provider to help obtain information or a resolution.
Any cancellation, refund or compensation remains subject to the applicable Service Provider conditions, except where mandatory law provides otherwise. Nothing in this section limits any consumer right or remedy that cannot lawfully be excluded.
If you believe a payment has been processed incorrectly or without authorisation, please contact us promptly before initiating a payment dispute where reasonably possible so that we can investigate the matter.
8. Accommodation Providers and Third-Party Information
Hotelfest relies on information supplied through third-party booking platforms, suppliers and accommodation providers, including descriptions, photographs, facilities, availability, prices and booking conditions.
We take reasonable steps to display the information made available to us accurately, but the relevant Service Provider is responsible for the accommodation service and for the information and conditions it supplies. Hotelfest does not own, operate or manage the accommodation properties displayed on the Platform.
Hotelfest is not responsible for the acts or omissions of a Service Provider, the condition of a property, or the quality of the accommodation service, except to the extent responsibility cannot be excluded under applicable law.
9. Customer Responsibilities
You are responsible for ensuring that you and all guests meet the requirements applicable to the stay, including identification, passport, visa, health, entry, age, deposit and property-specific requirements.
You must use the Platform lawfully and must not make fraudulent, false or unauthorised bookings, misuse payment methods, interfere with the Platform or attempt to access it in an unauthorised manner.
10. Platform Availability and Liability
We aim to keep Hotelfest available and accurate, but we do not guarantee that the Platform will always be uninterrupted, error-free or free from technical issues.
To the fullest extent permitted by law, Travel Partner OÜ is not liable for indirect or consequential losses, or for losses caused by a Service Provider, payment provider, events beyond our reasonable control, or information supplied by third parties.
Nothing in these Terms excludes or limits any liability or consumer right that cannot lawfully be excluded or limited.
11. Privacy and Cookies
Personal data is processed in accordance with the Hotelfest Privacy Policy. Cookies and similar technologies are used as described in the Hotelfest Cookie Policy. Both policies are available on the Hotelfest website.
12. Changes to These Terms
We may update these Terms from time to time. The updated version will be published on the Hotelfest website with a revised effective date. The Terms applicable to a booking are those made available to you at the relevant time, subject to mandatory law.
13. Governing Law
These Terms are governed by the laws of the Republic of Estonia. If you are a consumer, you retain any mandatory consumer protections and rights available to you under the law applicable in your country of residence.
